Frequently asked questions
What is your company's outlook on AI?
Our AI strategy is to move forward alongside the powerful tools AI offers, without losing the human touch that makes hospitality-driven service companies great. We believe AI is most valuable when it gives talented people more time to do the things only people can do well: create, communicate, build relationships, solve problems, and deliver remarkable experiences. At Nightowl, that means using AI behind the scenes for data analysis, internal documentation, workflow development, research, organization, and other technical or repetitive work. We also use it as a creative tool—to explore ideas, visualize concepts, develop photoshoot inspiration, and experiment with rental builds before making a large investment. But there is an important distinction: AI can inspire the creativity, but should NEVER become the creativity. We do not want to become a company filling its website, portfolio, or social channels with artificial work presented as reality. Our photography should show real events. Our content should feature real people. Our portfolio should represent things we have actually built and experiences we have actually delivered. Nothing about Nightowl is artificial. So while the world races toward automation, our goal is to automate the monotonous, data-driven things that allow us to be more human, more hospitable, and more creative everywhere else. We will continue adopting new technology aggressively when it improves our capabilities, service, or team. But when technology begins making brands look, sound, and feel the same, we are eagerly running the other direction.
Do you work with show organizers and general contractors?
Yes. We're experienced navigating show contracts, union labor rules, and general contractor requirements at major convention centers. We handle the logistics so you don't have to.
How much space does a conference setup need?
A single setup typically needs 6×6 to 8×8 feet. We can work within a standard 10×10 booth or in adjacent conference spaces. We'll assess your floor plan.
Can we set up multiple Nightowl stations across a conference?
Yes. Conference-wide setups with multiple branded stations are a core offering. We coordinate staffing, logistics, and branding across all locations.
How do you handle high-volume conference traffic?
From 25 guests to 250,000, we scale our barista stations to your expected foot traffic. For major expos, we deploy multiple machines and baristas to ensure wait times stay short even during peak traffic. We'll walk you through your options and help you plan the perfect coffee cart experience for any volume
Can you print our company logo in the latte art?
Yes — this is one of our most popular conference offerings. We can pour your logo, your client's logo, or a custom design into every cup. It's a guaranteed photo moment.
Can we brand the cups with our company logo?
Yes. Custom-branded cups are available for orders meeting a minimum quantity. Ask us when you book and we'll confirm options based on your order size and timeline.
Do you work with HR or office management teams directly?
Absolutely. Most of our corporate clients have us coordinate with their office manager or executive assistant. We're used to working within corporate procurement and approval processes.
Can you accommodate dietary restrictions and non-dairy options?
Yes. We offer oat milk, almond milk, and other alternatives as standard. Just let us know your team's needs when you book.
How much space do you need in an office?
Our office setups typically need a 6×4 foot footprint and access to a standard 20-amp outlet. We can work in break rooms, lobbies, open offices, and event spaces.
How does a recurring office perk program work?
We set a schedule together — weekly, bi-weekly, or monthly — and we show up, set up, and serve. You're invoiced on a flat recurring rate. No planning needed on your end after the first booking.
Can you do multi-day or multi-city activations?
Yes — this is one of our strengths. Consistent quality, consistent staffing, and coordinated logistics across multiple locations and days. Let's build a tour plan.
How many people can you serve per hour?
A single barista setup can serve approximately 60–80 drinks per hour. For higher-volume activations, we deploy multiple baristas and machines.
Can the cart be branded with our logo?
Yes. Cart wraps, custom cups, signage, and barista attire can all be customized to your brand. Lead times vary — contact us at least 2–3 weeks before your activation.
Do you need a power source?
Each coffee cart requires a dedicated 15-amp circuit. Ex. Two (2) coffee carts would require access to two (2) dedicated circuits. For locations without power access, generators are available for rent. Let us know your setup location early and we'll plan accordingly.
What locations can you set up in?
We can operate a coffee cart anywhere as long as we have power access (or a generator). Sidewalks, parking lots, parks, rooftops, festival grounds, convention floors—we've done it all.
Do you do recurring setups for long productions or tours?
Yes. For extended shoots, tours, or multi-day festivals, we offer recurring service agreements. Let's talk about what consistency looks like for your project.
Can you serve high volume quickly during breaks?
Yes. Our baristas are trained for high-speed, high-volume service — ideal for production breaks where the whole crew needs coffee in a 10-minute window.
How quickly can you set up and break down?
Most setups are operational within 30–45 minutes. Breakdown is equally fast. We're experienced working around tight event timelines.
Do you handle NDA or confidentiality requirements for high-profile productions?
Absolutely. We're experienced working with talent and productions that require discretion. Our team signs NDAs as needed and operates professionally at all times.
Can you work in tight backstage spaces?
Yes. Our compact espresso setups are designed for non-traditional environments. We'll assess the space in advance and bring the right configuration.
Can the setup match our wedding colors and aesthetic?
Yes. Cup design, equipment styling, and signage can all be customized to match your wedding palette and decor. We'll work with your planner or coordinator on the details.
What's included in a wedding package?
Equipment, all supplies, a trained barista team, and setup/breakdown. Package options vary by guest count and service duration — we'll build you a custom quote.
Do you offer signature drinks?
Absolutely. We can create a custom signature espresso drink named after you as a couple — a fun, personal touch your guests will love.
Can you work with our venue's kitchen or catering team?
Yes—and we LOVE working alongside other event professionals. We coordinate directly with venue staff and caterers to ensure setup, power, and service timing all align with your wedding day schedule.
How far in advance do I need to book?
We're built different. If you have an event tonight, we're going to pull it off the "impossible" for you. And although Nightowl often makes last minute dreams come true, we recommend booking at least at least 2-3 weeks out to allow time for all branding options to be available.
Can you match our brand colors in the coffee experience?
Absolutely. Custom branded carts, logos printed in your latte, cup design, barista uniforms, and equipment wraps can all be aligned to your brand identity.
Do you handle staffing and equipment?
Yes—we bring everything. Espresso machine, grinders, supplies, and trained baristas. You provide the people and the power and we'll take care of the rest.
